Work in a unified, secure digital space from home, office, and anywhere
A digital workplace is a modern working environment which brings together all daily working tools and applications, cloud services and local systems in a single space. While maintaining a high density of communication and having access to relative information, employees stay productive and flexible.
Based on the M-Files platform, you can combine email, instant messaging, productivity tools, corporate media, intranets, customer portals, video conferencing software, accounting systems, and other business applications. M-Files Digital Workspace allows employees to support key processes from their smartphone, tablet, and laptop – from the office or remotely.
The digital workplace supports changes in the way employees work by increasing process transparency and improving social connections.
Merge offline and online communications, allowing employees to always stay connected through mobile devices, which will provide access to tools and enterprise information anywhere and at any time.
Enable employees to find the needed information more quickly and serve their customers more efficiently. Provide tools and technologies that help employees execute business processes and roles as currently designed.
Employees support processes and stay connected across distributed and virtual workspaces, while maintaining confidential information and reducing operational risk.
Introduce more effective ways to meet virtually, cutting travel and telecommunication costs and eliminating wasted time on the go.
Provide the tools that mimic organization and business changes and reflect employee behaviours.
Google Workspace is a set of cloud services for the efficient work of a group of people, which allows you to create emails in your own domain and secures data. Employees collaborate in a cloud environment and work on documents simultaneously. Integration with the M-Files platform allows you to document file history created in Google Workspace and track document versions. Any content edits are automatically reflected in both M-Files and Google Workspace. M-Files allows you to store data either locally or in the secure M-Files cloud. The system uses role-based access for protecting user rights.
You can tag and manage data from Google Drive with automated workflows. Employees can save documents from Google services in PDF or Word for archiving or further processing. Emails and attachments from Gmail are saved directly to M-Files and can be linked to other relevant content, such as files on Google Drive or network folders. For content classification, users can add metadata to each file.
M-Files integration with Microsoft 365 creates a single point of access to all enterprise data. Employees can search for files, share links, and manage all connected data regardless of repository through Office 365 user interfaces.
Microsoft Teams is an effective collaboration and teamwork tool, but it comes with data security vulnerabilities. Microsoft Teams integration with M-Files will help you avoid leaks of confidential information and unorganized document storage. M-Files extends the capabilities of Teams beyond Office 365 by organizing and presenting information from disparate repositories - SharePoint, ERP, CRM, Google Drive, Box, Dropbox - and makes them available only after users request. Users will be able to move away from the traditional ways of storing documents and search for the information and documents they need by content. Documents follow a pre-configured lifecycle where users get notifications on the next steps and managers are notified when the workflow is complete.
The main issue with Outlook is data inconsistency and complicated search. With M-Files integration, documents can be saved from Outlook and processed in M-Files. Users will get direct access to the M-Files repository from Outlook without switching between applications. Outlook is embedded into the platform and users can receive emails and attachments in M-Files. File attachments are classified and associated with other relevant objects or workflows.
