It is planned to introduce the mandatory submission of SAF-T in several stages, with the criteria for companies that will fall within the scope of the regulation in the first stage being the following:

Since 2026, all large enterprises within the meaning of the Law on Financial Reporting, within the scope of the Directorate of Financial Reporting.

Or in other words, companies that exceed at least two of the following indicators:

1) Book value of assets – 50,000,000 BGN;

2) Net sales revenue – 100,000,000 BGN;

3) Average number of personnel for the reporting period – 250 people.

During the event, participants discussed a number of interesting topics related to Dynamics 365 Business Central Online such as advantages of the cloud ERP system, total cost of ownership, differences compared with the on-premise solution, return on investment. The participants also explained the transition process from the previous version of Business Central / Navision. They provided more information about the applications available оn Microsoft AppSource and shared with the audience how FTS is already successfully helping a number of companies in their transition to cloud ERP software.

Here are some of the main advantages of cloud solutions:

• You do not need to have server hardware maintained by us
• We do not need to make sure that the systems are available and backed up at any moment – the cloud system is available 24/7 and is fully protected from server- and database-related technical and logical errors
• Security is at an exceptional high level – users’ access to the system is encrypted and always takes place after two-factor authentication.

Users do not have access to servers or databases – the systems are fully protected in Microsoft’s internal environment.

Disaster recovery:

Speaking of backups, cloud systems are extremely efficient and secure. The servers on which the system is installed work in clusters, which means that even if a server crashes, the system will continue to run on another server without this being felt by users. Data is fully backed up, copied at least 3 times locally and present in two different data centers in remote locations – there is virtually no way to lose it.

1. Why should customers choose a cloud system to manage their business? What are the advantages of Dynamics 365 Business Central Online?

The digital world we live in gives us a new way of communication and access to information. This is particularly relevant to business products we use in our daily work, such as MS Office or Dynamics 365. When we talk about the advantages of the on-line version of Dynamics 365 Business Central, I’d suggest looking at them from three different perspectives – that of the end user, business management and IT management.

As users, we want to use things around us quickly and easily. In Dynamics 365 Business Central we have direct access to the application via a web browser from anywhere and on any device – laptop, tablet or mobile phone. Microsoft provides the online version as a service where you can set up your workplace in the system in just a few steps, including the connection to Office 365 applications. Furthermore, you have access also to the applications in Microsoft AppSource that are specially developed as additions to Business Central.

From a business perspective, the online solution offers flexibility in terms of using and paying for licenses. You can increase the number of users or reduce it if required.

Dynamics 365 Business Central Online will make it very easy for you in terms of IT support too. The product is hosted оn MS Azure, which means that you do not need to set aside funds for servers, operating system or MS SQL licenses. The highest level of security is maintained in terms of archiving and recovery from disasters, as well as in terms of hacking.

2. And what can Dynamics 365 Business Central Online offer us with regard to integration with other Microsoft products?

Since all Microsoft 365 products are in the cloud, with Business Central Online you also get direct integration with a number of them. For example, reports that you run in Business Central can be easily linked and upgraded with Power BI. This means that in Business Central Online you actually have BI reports and you do not have to get into Power BI in order to generate them. An interesting and promising link is the link that Microsoft has been building between MS Teams and Business Central. In the last year we have seen several additions in this direction. The MS Teams communication app is becoming an essential part of the overall business process in companies which, in fact, would imply a wider exchange of data with regard to contacts and tasks between Teams and Business Central.

Of course, there is an integration available with other Microsoft 365 products as well, such as Office 365 (Word, Excel, Outlook), SharePoint, OneDrive. The integration with Power Platform and Customer Engagement takes place through the common platform for communication between Dynamics 365 products – Dataverse.

3. We all know that cloud systems go hand-in-hand with regular automatic updates. Can you tell us more about this process in Dynamics 365 Business Central?

Many customers choose Dynamics 365 Business Central Online precisely because of the possibility to have the latest version of the product. But for that to happen, efforts and control are needed on the part of both Microsoft and Microsoft partners. Microsoft sets a release schedule and takes care of the automatic upgrade. You have 2 major updates of Business Central that are released annually in April and October, and monthly minor updates.

Each partner, such as FTS, having own Business Central applications in the AppSource, is obliged to ensure compatibility of their applications with the main versions of the product. This means that we are responsible for making ourselves familiar with the changes in the program code in advance, to modify, if necessary, our application and to provide the necessary tests to ensure its operability after the update of Business Central.

Thanks to the tools provided by Microsoft, some of these activities are automated, but it is  always advisable to have a specialist at hand. On balance, we make all these efforts in order to achieve greater security and satisfaction with the result that our customers always have access to the latest business functionalities of Business Central.

When you need to make a decision about the choice of a cloud-based ERP system, what is crucial, however, is the economic impact that this choice will have on your company.

Take a look at the TCO (total cost of ownership) image below, which graphically compares the different types of costs related to the use and maintenance of an ERP system – in the cloud or on-premise. This graphical assessment looks at 6 cost groups that need to be considered in the decision-making process of switching to / choosing a cloud solution. These appear at first glance to be identical, but in fact not all costs are apparent.

Software

The cost of software includes the cost of the software application itself, as well as the cost of other related applications – vertical solutions, add-ons, specific developments and integrations, i.e. everything that makes a solution complete for an organization.

A comparison of the two options shows the following:

• with the cloud solution – the cost of licenses are paid monthly / annually based on consumption and they are categorized as an operating expense (OpEx).
• with the on-premise solution – the cost of licenses is high and is paid in advance. Costs are categorized as a capital expenditure (CapEx) that is depreciated over a given period of time.

Implementation, customization and training

The cost of implementation, customization and training are identical for both the cloud and on-premise solution. Such costs are costs for software installation and software configuration suitable for the company. And also customization, testing, training and data migration. Costs vary depending on the complexity and specifics of the business of an organization. Such activities typically involve certified and experienced specialists – Microsoft partners like FTS.

Further to the above costs, however, we should not forget also adding costs that are often categorized as internal for the organization – such as costs for reengineering and change management.

Hardware

The on-premise option goes along with a large initial infrastructure costs – purchase of servers, network hardware, operating system, databases. Periodic operating costs are also needed – such as electricity costs and extra costs in the case of a breakdown.

With the cloud version, you do not have direct costs for server ownership and maintenance, as well as costs for other related infrastructure.

IT team

With the on-premise solution, a significant part of the costs are IT staff-related – various types of specialists are needed to maintain in working order and up-to-date all the servers, databases and different types of technologies behind the chosen software solution.

With the cloud solution, these costs virtually fall off or are related to specifically requested single services.

Maintenance

With the on-premise option, there is an annual maintenance fee payable, which is a percentage of the licenses purchased. When you pay for maintenance, you are entitled to use released fixes, patches and new software versions and updates.

With the cloud version, you have all this included in the cost of the license.

Updates/Upgrades

With the cloud solution, the application of new versions of the product is done automatically. Upgrades/Updates are prearranged to take place on a day and at a time most convenient for the company. They are applied automatically in both testing and real environment (see more on the topic in the series of articles on Business Central here).

With the on-premise option, the deployment of a new version in a testing and real environment would require that IT specialists with the necessary competencies are involved.

As we have seen, by choosing Dynamics 365 Business Central Online you can reduce the overall cost of acquiring ERP software and improve your cash flow with predictable monthly costs.

Here are some of these mechanisms:

• User authorization with Azure Active Directory (AAD). Depending on your requirements, you can set up multi-factor authentication (MFA), restrict login devices or IP addresses. In the cloud, you can benefit from built-in AI controls that monitor for unusual and illogical signals and send proactive notifications to users.
• Data encryption. Regardless of state (data at rest / data in transit), data is always encrypted.
• Automated data archiving procedures. The Business Central Online database is protected by automated backups. Full backup is done every week, differential backup every hour, and transaction log backup every five minutes, all these backups with a retention period of 14 days.

The new versions are released monthly, and every year – in April and October – the so-called major versions are released. The new architecture and the extension method established by Microsoft ensure a fast and reliable system upgrade process. The process typically takes several days. Initially, the system is upgraded in a testing environment (sandbox), where users are able to verify workflows and data. The automatic upgrade of the actual installation is performed only after the company confirms operational capability of the system.
