Examples of reporting different types of purchase invoices:
Invoice for purchasing goods for warehouse: Each line of the invoice with a different product will be described as a separate InvoiceLine in SAF-T. The AccountID of the line will be the corresponding inventory account (e.g. 304). ProductCode will be required if you manage the goods with codes.
Invoice for stationery (direct cost): If the invoice from the supplier lists “pens – 10 pcs.”, “paper – 5 packs” etc., then SAF-T expects separate lines with quantity, unit price, unit of measure and value in the InvoiceLine element, with the AccountID of each line being the expense account (e.g. 601).
Invoice for electricity: If the invoice has one main line for “Supply electricity” with a total quantity and value, then SAF-T will have one InvoiceLine. But usually such an invoice details separately day and night energy as separate lines with quantities, units of measure and prices, they will be separate InvoiceLine elements with their units of measure, quantities, unit prices and values. The AccountID will be the expense account for electricity.
This is the approach for invoices with multiple components, even if the business transaction is a direct cost (e.g. an invoice from “Heating”). As you know, the invoice lists “Heat energy for water heating”, “Heat energy for heating” and “Shared service” and other separate lines with quantities, prices and amounts, they should be separate InvoiceLine elements in SAF-T, with each line pointing to the corresponding expense account.
The examples of such invoices that do not report inventories, but will require this detailed entry in the accounting systems, are countless.
