M-Files Integration with CRM and ERP

Leverage your current systems and implementations

Short Overview

CRM accumulates customer records and sales data, while the ERP system is responsible for centralizing the company’s main operating data and launching processes based on this data. M-Files allows you to combine daily documents with different data sources and processes. If the workflow is closely integrated into information support systems for operations, collaboration, and decision-making, then overall efficiency increases.

With connectors to Salesforce and Microsoft Dynamics CRM, M-Files allows you to connect daily customer documents (proposals, presentations, contracts, applications, letters) and customer records with data from CRM. Users receive the ability to attach documents to CRM objects: accounts, prospects, leads, contacts, and opportunities. Users view files directly within the Salesforce or Dynamics CRM interface without switching between apps.

Integration to SAP with connectors and plug-ins allows you to use M-Files as a content repository for document management processes in SAP, as well as to view documents directly in the ERP system interface. This allows organizations to use the power of the M-Files workflow to approve documents, such as purchase invoices, and then integrate them into the accounting process in SAP. The integration can be used to archive and store documents: the necessary files from SAP can be exported to the M-Files storage. They are available through the SAP user interface and M-Files.

Benefits for Business

Transparency in collaboration on customers

All data from Salesforce or Dynamics CRM and other applications and storage systems is connected and available to users from a single view. All departments get access to up-to-date data and documents on customers, which increases efficiency of internal communication.

Increasing employees productivity

M-Files for Salesforce and Dynamics CRM reduces customer service time and improves communication to reduce churn rate. Employees also get access to all features from mobile or offline.

Better control over activities

Integration with M-Files supports core business processes and workflow automation, improves compliance with regulations, directives and company-specific standards, as well as industry standards and legal requirements.

Mitigation of business risks

Security settings allow you to avoid leakage of confidential information. Confidential and sensitive information is classified, and only employees with certain roles have access to it.

Cost saving

M-Files allows reducing the time for searching and preparing documents, processing information in Salesforce, Dynamics CRM and SAP. Employees can focus on tasks with added value for the client, whereas monotonous document management is automated.

Maximization of investments in current software

By integrating Salesforce, Microsoft Dynamics CRM, and SAP with other cloud systems and local document storage, the company leverages the power of current platforms and enhance the beneficial effect of past implementations.

Features

Contract management in CRM

Sales, marketing and customer support employees can create quotes, contracts and agreements using pre-configured templates with dynamic customer data pulled from CRM. Users then can edit documents and launch an automatic approval process with notifications on status.

Opportunity and lead management in CRM

Customer data is pulled from the CRM while creating documents such as contracts, quotes, presentations at the stage of opportunity processing, which is managed by the workflow.

Access to documents directly from CRM and ERP

M-Files allows you to set up direct access to documents in different storages and archives from the environment of CRM or ERP systems. Simultaneously, you can store customer documents not only in Salesforce and Dynamics CRM, but also in network folders, on the SharePoint sites, or Google Drive with access from a single view. Documents in SAP can be stored in the M-Files repository and viewed in the SAP Views Tools.

Archiving documents in SAP

Users can scan paper documents to a network folder controlled by the M-Files server. The M-Files server imports the files and links them to the corresponding invoice objects in SAP. The invoices are then processed using workflows in SAP. To archive the print list, the list data from SAP is transferred to an archive repository in M-Files. Printed lists are typically monthly, quarterly, or annual financial statements, such as listings of all financial transactions for a specified period of time. Users can view the archived lists through the SAP user interface.
